Save an Excel worksheet as a readable PDF

Set print areas, page breaks, and scaling before exporting. Includes a note for readers following older Excel links.

THE QUICK ANSWER

Use Save As or Export and choose PDF. First inspect the print area and page breaks so the exported document stays readable.

Current desktop Excel / includes a legacy-version note

Prepare the print layout

  1. Select the table and choose Page Layout → Print Area → Set Print Area.
  2. Set paper size, orientation, and margins. Use landscape for a wide table if needed.
  3. Set width to one page when appropriate, but leave height automatic for a long table.

Forcing a long worksheet onto one page in both directions can make every value unreadable. Let a report use several pages when it needs them.

Export and inspect the actual file

  1. Open File → Save As or Export and choose PDF. Mac versions may also offer a PDF menu in the print dialog.
  2. Check Options to choose the active sheets or entire workbook.
  3. Save, then open the exported PDF.
  4. Check page count, repeating headers, the rightmost column, and chart labels.

Fix common layout problems

Unexpected blank pages often mean the print area includes unused rows or columns. Use Page Break Preview to inspect splits, and Print Titles to repeat header rows on each page.

PDF export does not correct formula errors. Check source calculations and ensure hidden rows, columns, or extra sheets are handled as intended.

If you followed an old Excel 2003 link

The legacy Japanese page covered PDF output in older Excel. Excel 2003 and earlier do not have the same built-in PDF export workflow. Use a trusted, supported print environment or convert with a newer Office installation.

Avoid installing abandoned add-ins from unknown sources. Before using an online converter, check whether the workbook’s contents are suitable to upload.
